Volunteer Orientation and Training Sessions

All the sessions will be held at the Vancouver Convention and Exhibition and Centre (www.vcec.ca) located in Vancouver, BC at 999 Canada Place.

Volunteers

All volunteers must attend one of the following sessions. Please note that international volunteers and out-of-province volunteers are exempted, but may be put in positions that require less training. Please email me at volunteers@iuhpeconference.org to confirm your participation in one of the following two sessions.

  • Thursday May 31st 6:00pm to 10:00pm (Meeting Room 11)
  • Friday June 1st 6:00pm to 10:00pm (Meeting Room 10)

Volunteer Captains

All Volunteer Captains must attend one of the following sessions. This is mandatory. Please note that all Volunteer Captains will be chosen by Friday May 18th. Emails will be sent to volunteers who expressed an interest in being Volunteer Captains but were not chosen. The dates of the training are as follows.

  • Saturday May 26th 1:00pm to 5:00pm (Meeting Room 7)
  • Sunday May 27th 1:00pm to 5:00pm (Meeting Room 7)

Volunteer Captains are also expected to attend the Volunteer Orientation and Training session as they will help to train the volunteers in their specific positions. For more information please contact me at volunteers@iuhpeconference.org

Possible Areas of Volunteer Participation

Communications Liaison: Volunteers will help with the poster presentations, conference signage and communication.

Conference Check-In: Volunteers will check-in participants and present them with welcome packages. Volunteers require familiarity with general accounting. Check-In will take place Sunday June 10th and Monday June 11th, with a few late comers throughout the week.

Conference Room Hosts: Room hosts will prepare the venue for presentations, ensuring that the room is tidy and organized for the attending group.

Conference Set-up: Volunteers will prepare the venue for the conference events.

Conference Wrap-up: Volunteers will help to close the venue.

Crowd Flow: Volunteers will ensure proper crowd flow during registration, food services, and presentations.

Equipment Services: Volunteers will set up and organize the equipment and supplies required for each scheduled event.

Fitness Services: Volunteers will work with the Activities Coordinator to organize daily fitness activities.

Hospitality: Volunteers in hospitality will be the first people participants meet upon arrival. They will be responsible for meeting and greeting VIP participants and generating a positive conference environment.

Information Services: Volunteers will provide participants with information on conference events, transportation, accommodation, food and beverage outlets, facilities and directions. This position requires strong people skills. Language skills in English, French, Mandarin, Spanish, and Portuguese will be an asset.

Media Relations Liaison: Volunteers will assist the Media Coordinator in facilitating scheduled interviews and hosting the media during the conference. Previous experience in Media Relations preferred.

Transportation: Volunteers will help in running duties. A valid BC driver’s license is required.

Volunteer Check-in Host: Volunteer Check-in Hosts will greet and register volunteers and direct them to their Volunteer Captains.

Other areas of volunteer participation may become available.

Pre/Post Conference Volunteer Participation

If you are in the Vancouver and Victoria area and available to volunteer leading up the conference and/or following the conference, please indicate your availability on the Volunteer Registration Form.
